How we collect, use and protect your personal information.

Who we are

Kumanov Perfumery Foundation runs this website and the learner portal. Kumanov Perfumery Foundation is responsible for the personal information that you give us.

This policy explains how we collect, use, keep and protect your personal information, in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

Information we collect

When you register for the learner portal, we collect:

  • Your first name, surname, email address and mobile number
  • Your South African ID or passport number, date of birth and gender (optional fields)
  • Your student number, which we make when you register
  • Your learning records: the courses you enrol in, the lessons you complete and your quiz results

When you send an enquiry, the form opens WhatsApp on your device. This website does not store the enquiry.

Why we use it

  • To create and manage your learner account and your student number
  • To give you your courses, record your progress and issue certificates of completion
  • To contact you about your training
  • To meet our legal and accreditation duties

We use your information only for these purposes. We do not sell it, and we do not use it for advertising.

Your consent

You give consent when you tick the POPIA box on the registration form. You can withdraw your consent at any time. If you withdraw it, we can no longer give you access to the learner portal. If you are under 18, a parent or guardian must give consent for you to register.

Who can see your information

Only authorised staff of Kumanov Perfumery Foundation can see your learner record. Staff of other organisations cannot see it. We use these service providers to run the website and the portal:

  • Supabase: the database and the sign-in service. The servers are in Ireland, in the European Union, which has data protection laws that give protection similar to POPIA.
  • Cloudflare: website hosting.
  • YouTube: some lessons show videos from YouTube in privacy-enhanced mode.
  • Google Fonts and Unsplash: the website loads fonts and photos from these services.

These providers process information only to supply their service to us.

How we protect it

  • All connections to the website and the portal are encrypted (HTTPS)
  • Passwords are stored only in a protected, hashed form. Staff cannot see your password
  • Database rules make sure that each learner sees only their own record, and staff see only their own organisation's learners

How long we keep it

We keep your information while your learner account is active, and after that only for as long as the law or our accreditation duties require. Then we delete it.

Your rights

Under POPIA, you can:

  • Ask what personal information we have about you
  • Ask us to correct or update your information
  • Ask us to delete your information
  • Object to how we use your information
  • Complain to the Information Regulator

To use these rights, contact us. You can also update most of your details yourself on the My profile page in the learner portal.

Cookies and browser storage

We do not use advertising or tracking cookies. When you sign in to the portal, your browser stores a sign-in token so that you stay signed in. The token is deleted when you sign out.
